The Tenant Services Coordinator role is part of Georgia Tech's Real Estate Development Office (REDO) and supports operations at Encore, a 50,000-square-foot post-incubator coworking community located in West Midtown Atlanta. Encore serves as a bridge between industry and the Georgia Tech ecosystem, supporting startups, scaling companies, and corporate partners through flexible workspace, programming, and community engagement.

Job Summary
Provide operational and tenant services coordination to support the day-to-day property operations of a multi-tenant innovation workspace. This role focuses on tenant service delivery within a leased property environment, coordinating suite readiness, facility service requests, and vendor scheduling to ensure tenant spaces operate efficiently and in alignment with building operating procedures and lease requirements.

The position assists with tenant onboarding, space readiness, and facility coordination while maintaining a professional and responsive experience for tenants. The role works closely with campus units, building property management, and service vendors to address operational needs and maintain the functionality of the workspace.

Typically, this position will interact consistently with staff, tenants, external customers, vendors, and building property management personnel.

Responsibilities

  • Job Duty 1 - Serve as the primary point of contact for tenants regarding tenant services including suite readiness, maintenance coordination, access requests, and operational inquiries while supporting compliance with building operating procedures.

  • Job Duty 2 - Coordinate tenant onboarding activities including workspace preparation, access coordination, orientation to building procedures, and logistical setup for new or expanding tenants.

  • Job Duty 3 - Assist with tenant move-ins, suite transitions, and space adjustments by coordinating vendors for furniture relocation, cleaning services, and minor workspace preparations.

  • Job Duty 4 - Monitor the condition of tenant suites and shared workspace areas by performing routine operational walkthroughs and coordinating necessary service requests with building management or external vendors to address maintenance concerns, repairs, and any additional operational issues requiring follow-up.

  • Job Duty 5 - Coordinate with building property management regarding security access, maintenance activities, deliveries, and any other operational impacts to tenants.

  • Job Duty 6 - Track tenant service requests and facility issues, ensuring timely follow-up and resolution while maintaining documentation of work orders and vendor activity.

  • Job Duty 7 - Coordinate landlord and vendor service providers for services including janitorial support, maintenance activities, furniture installation, carpet cleaning, and minor workspace adjustments.

  • Job Duty 8 - Communicate with respective campus units regarding operational issues, tenant service needs, and facility-related matters affecting the workspace.

  • Job Duty 9 - Perform other duties as assigned.

Required Qualifications

  • High School Diploma or equivalent required.

  • Two to three years of job-related experience in property operations, tenant services coordination, facilities support, commercial real estate operations, hospitality operations, or administrative support.

Preferred Qualifications

  • Bachelors degree in Business Administration, Real Estate, Hospitality Management, or a related field.

Knowledge, Skills, & Abilities

  • Ability to coordinate multiple operational tasks and vendor activities.

  • Strong organizational and communication skills.

  • Ability to work effectively with tenants, vendors, and property management teams.

  • Ability to identify facility or operational issues and coordinate timely resolution.

  • Ability to maintain operational documentation and service request tracking.

  • Ability to lift at least 25 lbs.

  • Experience supporting operations in commercial real estate, coworking environments, property management, facilities coordination, or tenant services roles.

  • Experience coordinating vendors or service requests in a multi-tenant environment.

  • Basic knowledge of commercial property operations, tenant service coordination, and facilities management practices in multi-tenant environments.

  • Proficiency in Microsoft Office or Google Workspace and the ability to track operational requests, vendor coordination, and tenant service issues.
